1. Scope
This Privacy Policy applies to koozworks.com, KoozWorks support and contact communications, and KoozWorks software products and services that link to or reference this policy, including Due Diligence Dashboard (DDD), OptionGuard and MAX, unless a product presents a more specific privacy notice. KoozWorks is a software brand operated by Rancho Merced Apartments LLC.
This policy describes information that KoozWorks may collect, receive, access or process. A software product may process information on your device without KoozWorks receiving the contents of that information; where relevant, this policy distinguishes local processing from information transmitted to KoozWorks or a service provider.
2. Information we collect or process

We do not ask for a street address through the general KoozWorks website contact form. Please do not submit passwords, authentication credentials, Social Security numbers, full payment-card numbers or other unnecessary highly sensitive information through that form.
3. Sources of information
Information may come directly from you; from your browser or device when communicating with our website or licensing/support services; from software or files you choose to use with a product; from app stores, payment providers or service providers involved in a transaction; or from ordinary business communications.
4. How we use information
We use information as reasonably necessary to:
- operate, secure, maintain and improve the website and products;
- respond to contact, support and custom-software inquiries;
- provide product functionality requested by the user;
- verify licenses, entitlements, trials or product access;
- diagnose errors, prevent abuse and protect users and systems;
- process or reconcile purchases made through authorized marketplaces or payment providers;
- maintain business, accounting, security and compliance records; and
- comply with law, enforce agreements and protect legal rights.
5. Product data, documents and local processing
KoozWorks products may access and process files and data that you deliberately select or enter in order to perform requested functions. For example, a due-diligence product may process real-estate documents and financial or property information. A product's access to information does not necessarily mean KoozWorks receives that information.
Except where a feature, support action or in-product notice indicates that information will be transmitted, KoozWorks does not intentionally collect the contents of a user file solely because the software processes that file locally. If you deliberately send a document, screenshot, diagnostic file or other content to KoozWorks for support, review or another requested service, we may receive and process that content for the purpose you requested.
Where a product transmits personal information to an external service as part of a feature, KoozWorks will use reasonable measures to provide legally required notice or consent and will maintain this policy as product functionality changes.
6. Website contact form — notice at collection
The KoozWorks Contact page requires a name, email address and message. Phone number, city and country are optional. We use this information to receive, route, respond to and retain business or support communications and to protect the form from abuse. We do not sell or share contact-form information for cross-context behavioral advertising.
7. When information may be disclosed
KoozWorks may disclose information only as reasonably necessary to the following categories of recipients:
- Hosting, email, infrastructure and security providers that help operate the website or communications;
- App stores, payment processors and licensing providers involved in purchases, entitlements, activation or product delivery;
- Professional advisers and contractors who need information to provide legitimate services and are expected to handle it appropriately;
- Authorities or other parties when legally required or when reasonably necessary to protect rights, safety, security or prevent fraud or abuse; and
- A successor organization in connection with a merger, financing, acquisition, reorganization or sale of business assets, subject to applicable law.
8. Sale, sharing and targeted advertising
KoozWorks does not sell personal information. KoozWorks also does not share personal information for cross-context behavioral advertising and does not knowingly sell or share personal information of consumers under 16 for those purposes.
If these practices change, we will update this policy and provide any notices, opt-out mechanisms or privacy-choice links required by applicable law before engaging in the new practice.
9. Microsoft Store, other marketplaces and payment providers
Purchases may be processed by Microsoft or another authorized marketplace or payment provider under that provider's own terms and privacy policy. KoozWorks does not intentionally collect full payment-card numbers through the general KoozWorks website. We may receive limited order, entitlement, subscription, transaction or customer-service information from a marketplace or provider as necessary to operate the product and support the transaction.
10. Cookies, analytics, online tracking and Do Not Track
The KoozWorks website does not currently intentionally use third-party advertising trackers or cross-site behavioral advertising. Ordinary hosting, security or application infrastructure may use technically necessary cookies, logs or similar mechanisms to provide or protect the service.
California Do Not Track disclosure: KoozWorks does not currently track visitors over time and across third-party websites for targeted advertising. Because there is no single universal standard for legacy browser "Do Not Track" signals, the website does not take a separate action solely in response to that signal. Where applicable law requires recognition of an opt-out preference signal for a data practice KoozWorks engages in, KoozWorks will honor that requirement.
Third-party sites or services linked from KoozWorks may collect information under their own policies; KoozWorks does not control their independent tracking practices.
11. Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including support, licensing, security, accounting, dispute-resolution, legal and compliance needs. Retention varies by category and context. We may retain limited records longer where required by law or reasonably necessary to establish, exercise or defend legal claims. When information is no longer reasonably needed, we take reasonable steps to delete, anonymize or securely dispose of it.
12. Security
KoozWorks uses reasonable administrative, technical and organizational safeguards appropriate to the nature of the information and the size and nature of the business. Measures may include encrypted transport, access controls, authentication, software updates, data minimization and limiting access to people or providers with a legitimate need. No website, software, transmission or storage method can be guaranteed completely secure, and we cannot promise absolute security.
13. Your choices and privacy requests
You may contact us to request access to, correction of or deletion of personal information that KoozWorks maintains about you, subject to identity verification, legal exceptions and record-retention obligations. You may also ask questions about our privacy practices or request that we stop nonessential communications.
Submit a request through the KoozWorks Contact page and identify the request as a privacy request, or email support@koozworks.com. We will not discriminate against you for exercising privacy rights that apply to you.
14. California privacy disclosures
California's Online Privacy Protection Act (CalOPPA) requires qualifying commercial websites and online services that collect personally identifiable information from California consumers to post privacy disclosures. This policy identifies categories of information collected, categories of recipients, our tracking practices, the process for requesting access or changes, how policy changes are communicated and the effective date.
Where the California Consumer Privacy Act (CCPA/CPRA) applies to KoozWorks and to a particular request, California residents may have rights to know/access, delete, correct, opt out of sale or sharing, limit certain uses of sensitive personal information, and receive equal service without unlawful discrimination for exercising applicable rights. Because KoozWorks does not sell or share personal information for cross-context behavioral advertising, there is currently no sale/share opt-out transaction to perform.
Even where a particular statutory threshold does not apply, KoozWorks will make reasonable efforts to honor legitimate access, correction and deletion requests consistent with security, legal obligations and the rights of others.
15. Children
The website and KoozWorks business software are not directed to children under 13, and KoozWorks does not knowingly collect personal information from children under 13 through the general website. If you believe a child has provided personal information to us, contact us so we can evaluate and address the matter.
16. International users
KoozWorks is operated in the United States. If you use the Services from another country, information transmitted to KoozWorks may be processed in the United States or another location where a service provider operates. Where applicable law requires additional protections or disclosures for international transfers, KoozWorks will implement them as appropriate to the relevant service and data.
17. Third-party links and services
The Services may link to or integrate with third-party websites, operating systems, marketplaces or services. Their privacy practices are governed by their own notices. Review those policies before providing information directly to those providers.
18. Changes to this Privacy Policy
We may update this policy as products, data practices or legal requirements change. The current version will be posted at this URL with an updated effective or "Last updated" date. When required by law, we will provide additional notice or seek consent before materially different uses of personal information.
